What Is Digital Asset Management?

With the takeover of the Third Industrial Revolution, computers and digital machines took over the world and allowed us unprecedented breakthroughs. It’s unbelievable to think that it took thousands of years for human beings to experience controlled flight for the first time and just 66 short years later, the first humans walked on the moon. With the advent of the Third Industrial Revolution followed by the rapid boom of the Fourth Industrial Revolution, a major shift has occurred: some of the world’s most valuable assets are now stored in digital form and accessed by specialized digital devices, called endpoints.

Digital asset management is managing corporate-owned software, content, data, and the endpoints accessing them.

In the following, we will go through Trio’s web platform and tools implemented for the security, agility, and rapid scalability of your business.

Introduction to Trio’s Web Platform

Trio’s web platform is a Unified Endpoint Management platform (UEM for short) where IT admins can view, gain insight, and manage all their digital assets and endpoints.

  • Digital assets include applications, SaaS subscriptions, cloud accounts, etc.

  • Endpoints (or physical assets) include Windows, Mac, iOS, Android, and iPad OS devices and accessories.

With Trio being a UEM, IT admins will not need additional software to manage different endpoints or digital assets.

Simplicity and ease of use are the core pillars of Trio’s web panel design philosophy. We understand that our end users are mostly IT admins with solid knowledge of computer and application operations, so we provide them with expert tools. However, just because you’re an expert, it doesn’t mean everything has to be hard!

To boil down our web panel’s functionality, the goals are to enable you to:

Devices Supported by Trio

While Trio allows for custom categorization of devices using tags, in general, devices are categorized based on ownership and their operating system. When categorized by ownership, devices are owned either by the company or the employees (with sub-categories covering mixed uses of corporate-owned or employee-owned devices).

Devices Categorized by Ownership

  • Employee-Owned Devices

BYOD (Bring Your Own Devices) refers to the practice of employees bringing their personally owned devices into the organization for work purposes. In such cases, it’s of utmost importance to ensure both corporate and employee data are safe and secure. This means the corporation has no access to any personal data and that the employees can securely access work information through a containerized work environment. This helps prevent leaks or compromises of sensitive company data, even if an employee uses their device for work.

  • Corporate-Owned Devices

Company-owned devices are, as the name suggests, devices owned by the company. Company-owned devices are categorized into different sub-categories:

  • Corporate-Owned, Fully Managed Devices

These devices are operated for the sole purpose of work and companies have total control over them on a system level.

  • Corporate-Owned, Single-Use Devices

Also known as kiosks, these are devices limited to a certain list of applications. For example, ATMs are devices locked to a single app to perform banking operations. They usually don’t come with specially designed operating systems and use conventional operating systems like Windows, Android, etc. With special settings, these devices turn into kiosks.

  • Corporate-Owned, Personally-Enabled Devices

These are the devices owned by the company that can also be used by employees for personal purposes. While company-owned devices can be enabled to allow personal use—which restricts the company’s access to personal data— companies can still enforce settings or policies to these devices’ personal containers and/or revoke personal use access at any time. For example, companies can enforce certain policies regarding camera usage and disable the device’s camera in the company’s perimeter even for personal use.

Devices Categorized by Their Operating System

Each operating system is built on a distinct philosophy, prioritizing different usage scenarios. For example, iPad OS, as the name suggests, has been built to deliver the best tablet experience to users. Android focuses on offering flexibility across phones, tablets, and other devices, and so on. It is common to use a combination of devices from different OS families in corporations. Trio supports the following operating systems:

  • Windows

  • Mac

  • Linux

  • iOS

  • Android

  • iPad OS

  • tvOS

Now that we know the compatible device types within Trio, it’s important to note that a human-friendly device discovery mechanism has been implemented. It consists of assigning devices to individual users and leveraging existing HR structures within Trio, streamlining the process for IT administrators.

Human Resources Structures and Device Inventory

For a more natural and easier-to-use experience, Trio supports organizational structures like offices, departments, job positions, and employees. Moreover, Trio supports the complete employee lifecycle, from onboarding and asset assignment to offboarding and asset repossession.

In Trio, employees are entities with customized settings and access levels, which allows them to seamlessly be assigned new hardware or hand over old ones. Not just that, Trio allows for custom settings and applications per department/job position.

For example, imagine you want your UI designers in the design department to have access to Figma or Adobe® Sketch, while you want your graphic designers to have Photoshop installed on their devices. Moreover, you want every device in the design department to have Odoo ERP installed. When a new UI designer joins the company, you don’t have to worry about anything: The moment they’re assigned a new device (or claim a new device), every setting is automatically pushed to that device. On top of that, IT admins are given full control to impose exceptions based on department/employee/device.

This allows for greater control and easier automation of IT tasks, which is one of the key advantages of Trio compared to competitors.

Trio Onboarding/Offboarding

Trio supports complete onboarding/offboarding flows. HR departments and IT admins can define onboarding/offboarding procedures in Trio, ensuring a seamless and secure experience for new and departing employees. As simplicity is a core design philosophy in Trio, most of the onboarding process is completed by employees or automatically to ensure IT departments are not burdened with it. For example, instead of entering employees’ data manually, when a new hire is added to the onboarding list, an automated email with a secure data submission form is sent to the employee.

Moreover, IT admins can enable the device claim option for employees, which allows them to claim any of the eligible devices from the device inventory (refer to the “Device Claim” section for more info). Finally, Trio automatically pushes the necessary settings, applications, and accesses to devices based on the employees’ department/job position.

Trio’s Integration With HRIS

Trio takes HR management to the next level through its seamless integration with your existing HRIS. This eliminates the need for manual data entry and streamlines the entire employee lifecycle, from onboarding to offboarding. Trio leverages your HRIS data to automate tasks and personalize the IT experience for each employee.

Imagine new hires automatically receiving pre-configured devices with the right applications based on their department and role, all triggered by information within your HRIS. This minimizes IT workload and ensures a smooth transition for new employees.

Trio's granular access controls, also informed by HRIS data, further enhance security by granting specific permissions based on each employee's position within the organizational structure. This integration fosters a more efficient, secure, and personalized IT experience for your entire workforce.
